Services / Strategic · be effective

The hours are going somewhere. Let’s find out where.

Most small teams are not short on effort. They are short on systems — and the gap shows up as evenings, weekends, and work that only one person knows how to do. We find the expensive parts and fix them.

Most projects: $2,000–$10,000 · scoped in weeks · fixed price in writing

Who this is for

Independent practitioners

Intake, scheduling, notes and invoicing spread across four tools and a notebook. We map where the hours go and fix the two that cost you most — usually with software you already pay for.

Nonprofits and community organizations

The process lives in one person’s head and that person is leaving, or is you. Getting it out of there is a risk reduction before it is an efficiency gain.

Local businesses

Quotes, jobs, and follow-up tracked in a spreadsheet that only works because you remember what the columns mean. We keep what works and replace the parts that break under load.

What this looks like

Diagnose first. Then change as little as possible.

A map of where the time goes

We sit with the people doing the work and follow it end to end — intake, scheduling, records, reporting, handoffs. Most teams have never seen the whole path written down.

The expensive parts, named

Not everything inefficient is worth fixing. You get a short list of what actually costs you hours, and what it would take to change each one.

The right tools, set up properly

Usually the fix is a tool you already pay for, configured the way it should have been. We would rather turn something on than sell you something new.

Custom builds, only where nothing fits

When off-the-shelf genuinely does not cover it, we build something small and maintainable — and show your team how to run it without us.

Documentation your team will actually open

Short, current, and written for the person who has to do the task — not a manual nobody reads.

A handover, not a dependency

You should be able to run what we build. If you need us afterwards, it should be because you want to, not because you are stuck.

Small tools

Small tools, when nothing off the shelf fits.

Most of the time the answer is a tool you already pay for, set up properly. Sometimes it isn’t — and the thing you need is small, specific, and does not exist. We build that.

Usually it is something like an intake form that writes straight to the spreadsheet you already use, so nobody has to retype anything. Small enough to finish, boring enough to trust.

  • We help you decide whether to build at all — Buying beats building most of the time, and we will say so. Building is worth it when the off-the-shelf option costs more in workarounds than it saves.
  • A scope small enough to land — One workflow, one problem, a fixed price. Not a platform — the software equivalent of a good shelf.
  • Documentation and training, so it gets used — A tool nobody knows how to use is a tool you paid for once and abandoned. Handover is part of the build, not an upsell.
  • Ownership and support, in writing — It is yours — the code, the accounts, the data. We make sure it works and support it on whatever terms we agree, and you are not locked into us to keep it running.

Questions

The things people ask first.

Do we have to replace the tools we already use?

Usually not. Most of what we find is a tool you are already paying for that was never set up properly. Replacing things is expensive and disruptive, so it is the last option, not the first.

How long does this take?

The mapping is usually a week or two depending on how many people we need to sit with. What follows depends entirely on what we find — and you decide how much of it to do.

Our process lives in one person’s head. Is that a problem?

It is the most common thing we see, and it is the reason this work matters. It is not a criticism of that person — it is a risk to the organization, and it is fixable.

What if we just need a small thing built?

Then we build the small thing. Not every engagement starts with a full map — if you already know what is broken, say so on the call and we will scope just that.

What does this cost?

Most engagements land between $2,000 and $10,000. A mapping engagement on its own sits at the low end; a map plus building the two or three things it turns up sits higher. Small tools are quoted separately and are usually the cheapest useful thing we do. Fixed price, in writing, before anything starts.

Not sure this is what you need?

Take whichever door fits. If you are not sure, the review is free and we will tell you honestly — including if the answer is something else, or nothing at all.

Not sure what’s wrong

Something isn’t working and you’re not sure what. 30 minutes, then a written readout.
